Pending Patient Phone Call #

Hello PATIENT NAME, this is CA NAME calling from Hill Family Chiropractic. I was calling to check in and see how you are feeling after your first adjustment…

‼️
Any “pending patient” signups will be processed, and charges added on the day payment is made. PAYMENT/SIGNUP DATE WILL BE THE START DATE. All appointments before signup will be processed as PPV.
Feeling Fine:

I’m glad to hear that. Be sure to drink plenty of water and use an ice pack if you experience any soreness. Before I let you go, have you decided how you’d like to move forward with your care?

Feeling Sore:

Oh, that is normal after an adjustment. Your body is getting used to being in alignment. The Dr recommends drinking plenty of water and alternating heat and ice 20 minutes on and 40 minutes off to help relieve that soreness/stiffness/pain.

Have you had a chance to decide how you would like to move forward with your care?

Decided:

Great! Let’s go ahead and get your payment method put in the system so I can have all of the paperwork ready for you to sign on your next visit. Would you like to pay monthly or all at once? Ok, and do you have a CC number or bank information you would like me to use?

Undecided:

I completely understand, that is a lot of health information to process. What would you say is the main part of your care plan that you’re having trouble with?

💡
Make a note of what the patient says they’re having trouble with. This will help the doctor on the consultation.

Ok, no problem. I’m going to schedule some extra time with the doctor on your next visit. This will give him time to discuss your goals with you and see how they may have changed since you talked with him during your report.

‼️ Objection Responses
  • Can I just pay per visit?

Yes, that is an option to pay per visit, however, we find that the patients who commit to a plan and commit to the doctors’ recommendations get the best results. If you were to do a plan, which one are you leaning more towards

  • I can’t afford one time, but I don’t want to pay monthly.

The benefit of the monthly payment is that is spreads the amount throughout the plan into a smaller payment rather than being out more up-front due to the frequency to start and the therapies. Are you wanting to follow the doctors’ recommendations?

  • I don’t agree with the doctor’s recommendations.

What is it about that plan that concerns you, the time it takes with frequency of adjustments or the financial investment to pay for the care?

    • If they say time/frequency/schedule

I understand you are busy; we care for lots of busy people. It is best to have a time designated for you so that we can get you in and out and keep you on schedule. Does that make sense?

      OR

Sure, I understand, we are very accommodating, let’s get you a standing appointment and when you get your schedule for the week you can just reply to your confirmations texts or give us a call and we can reschedule your appointment for you. Does that make sense?

Great! So what works best for you, mornings or afternoons?

    • If they say financial

ASK – What is the monthly amount you would like to invest on getting the correction you need and deserve? (Once you lock down the amount the DC’s can determine the best plan to help them in their situation) get agreement on monthly amount.

      THEN

Ok, that information is helpful, I’ll communicate this to the Doctor and we will put a plan together that, while it may take longer to reach your health goals, will meet your financial amount more easily. I’ll make sure there is enough time scheduled for your next appointment so that we can talk about this new plan.

  • My schedule changes from week to week

“Oh sure, I understand you are busy, we care for lots of busy people. It is best to have a time designated for you so that we can get you in and out and keep you on a schedule.” OR “Sure I understand, we are very accommodating, let’s get you a standing appointment and when you get your schedule for the week you can email it and I will reschedule your appointments for a half an hour after you get off of work. That will be enough time right, great!”

  • I will just call to come in

“We find that those who schedule and are committed, achieve the best results.  It is our policy to have your schedule taken care of to ensure that you are receiving the correction that you need and want. So, what 3 days are going to work best for you?”

  • I am busy with my children’s activities

“Oh sure, I understand you are busy, we care for lots of busy people. It is best to have a time designated for you so that we can get you in and out and keep you on schedule.” OR “Sure I understand, we are very accommodating, let’s get you a standing appointment and when your Children’s schedule for the week you can e-mail it and I will reschedule your appointments to a more convenient time.”

  • I don’t have my calendar with me

“Oh sure, I understand, what I am going to do today is tentatively schedule your visits, give you a calendar to take home, you can write on that calendar any times that need to be changed and bring it on your next visit. I will get that updated in our system once you bring me back your calendar.”

  • I can’t tell you what I am doing a week from now. Let alone the whole year.

“Okay what 3 days typically work best for you, and you like the 4 pm time slot? Thanks, after that what one day would you like to keep? Wed at 4 pm, great here is a calendar of all your appts, if anything comes up, let us know and we will accommodate you. I don’t want you to stress about appointments or planning, just receiving the care you need and want.”

  • Can I let you know next time I come in?

“We find that those who schedule and are committed, achieve the best results. What I am going to do today is tentatively schedule your visits, give you a calendar to take home, you can write on that calendar any times that need to be changed and bring it on your next visit. I will get that updated in our system once you bring me back your calendar.”

  • Why do I need to schedule all my visits?

“We find that those who schedule and are committed, achieve the best results. Also by scheduling this allows me to ensure you are receiving the care that you need and want and move you towards the correction you desire.”

  • What if I can’t make it in are you going to charge me?

“The policy is in place for those who don’t call or show up, I feel confident that you would not do that. We are very accommodating here, we ask that you give us ample notice and reschedule any missed appointments if an emergency were to come up. It is very rare that we have had to enforce this.”
