đŸ’¡ If a new patient is unable to keep their Day 1 appointment, they should alert the office at least 24 hours before their appointment time. If they call or message the office with less than 24-hour notice or they do not show for their appointment, they will be subject to a $25 No Show charge.

CANCELLATION WITHIN TWENTY-FOUR HOURS #

Tell the patient that since they called within 24 hours, you must charge $25 to the card on file. Tell the patient that they can bypass the payment if they would like to reschedule their appointment instead of cancelling. If the patient cancels but calls to reschedule at a later date, the $25 charge will be considered a credit toward their New Patient exam at the rescheduled appointment.

NO SHOW/NO CALL #

Send a message on Trackstat 15 minutes after the patient’s scheduled appointment time. Charge the $25 No Show Charge on the patient’s credit card on file. If they respond, try to reschedule their appointment. Tell them that their $25 charge has been applied but that it will be credited to their account, and that amount will be taken off of their New Patient appointment costs if they reschedule.

If the patient cancels a second time, take the $25 charge again. After a third cancellation and charge, we will not schedule a new patient exam with that patient again.
